The Invisible Cost of HR Processes: Where the Money Disappears Before Automation
The invisible cost of HR processes is the time a team spends every month correcting mistakes, chasing approvals, and re-entering information that already exists. By EY's calculation, a single manually entered record costs a company $4.86 on average.
It doesn't show up in the budget because the cost is spread across different members of the team.
When HR processes run through email, Excel, and WhatsApp, everything seems to work. Salaries get paid, vacations get granted, and contracts still get signed in the end.
Why can't the budget see this cost?
Because nobody ever issues an invoice for costs like these.
Excel is "free."
Email is "free."
WhatsApp is "free."
The price is counted covertly: 40 minutes of an HR specialist figuring out an approval status, several hours of an accountant each month hunting for a wrong formula, and so on.
According to EY's research, one manual record costs $4.86 on average. Now multiply that number by the number of records your team enters each month: new employees, salary changes, vacations, overtime.
SHRM's State of the Workplace study says HR professionals spend 57% of their time on administrative tasks. That is time the company pays salary for but gets no strategic result from.
Where the hours disappear: 3 familiar scenarios
First: a contract is sent for approval by email. The email "got stuck" in an inbox, nobody knows the status, HR resends it and waits.
Second: shift data sits in one file, salaries in another. One missed entry or one wrong formula forced a recalculation of the entire month's data. Building a monthly shift schedule in Excel takes 2 days.
Third: a vacation request got lost in WhatsApp, nobody knows the balance exactly, and the employee calls HR again.
In all 3 scenarios, the work gets done. It just takes two or three times longer than necessary.
How to calculate your company's invisible cost
Three steps are enough. Write down every HR process that runs through email, Excel, or messengers.
Ask each person involved how many hours per week they spend on them, including correcting mistakes. Multiply those hours by the hourly pay and you get a monthly figure.
This figure doesn't yet include the most expensive risk: non-compliance with labor legislation. Incorrectly calculated overtime or unrecorded night hours turn into a fine during an audit.
What a single HR platform changes
Take the 3 processes above as an example. An employee's shifts are recorded, and salary is calculated automatically from that data. Overtime and night hours are paid at the appropriate coefficients.
Approvals don't stall, because the system itself reminds the user about pending activity. The employee sees their vacation balance themselves in their portal, and so on.
One thing doesn't change: the HR manager still makes the decision. The platform takes over only the part that consumes a lot of time: calculating, reminding, chasing statuses, transferring data.
We created Aisitec HR precisely to solve this problem. We kept seeing HR teams sinking in administrative routine, with no time left for the work that actually develops the company.
Today the platform is used by Telegraph Hotel, Radisson Blu Iveria, Direct Debit Georgia, Vaporia, Orient Logic, and other leading companies.
The HR Manager of Direct Debit Georgia notes that implementation simplified internal processes, reduced costs, and let the team redirect the freed-up time to strategic tasks.
According to the HR Manager of Vaporia, introducing self-service brought the greatest satisfaction from employees: they access their own data themselves and share information with management directly.
How long does it take to implement an HR platform?
Access to the platform opens as soon as the contract is signed.
Collecting information about the company's processes and configuring the platform may take up to one week.
If existing data needs to be migrated automatically into the Aisitec system, this time depends on the client company, specifically on how promptly they supply the information to be imported.
In our experience, the process above takes about one month. This period also includes 6 hours of free training for the HR team and support throughout the entire period.
From the second month, the team manages all digitized processes independently.
Implementation can also be done by module, in stages. This reduces change-management risk: you start with the module where you lose the most time, and add the rest step by step.

Frequently asked questions
What is HR process automation?
- HR process automation means that routine operations (salary calculation, time tracking, approvals, and vacation administration) move into one platform. You enter the data once, and the platform calculates, reminds, and distributes on its own. Decisions are still made by the HR manager.
How is an HR platform different from Excel?
- Excel is a tool built for analysis, not a platform for managing constantly changing HR data. One wrong click damages formulas and ruins the whole month's calculation. Aisitec HR stores data securely and performs calculations automatically.
How long does it take to implement Aisitec HR?
- Implementation takes one month: data migration, configuration tailored to your business logic, 6 hours of free training, and support throughout the process. From the second month, the HR team manages processes independently. Stage-by-stage implementation by module reduces the change risk even further.
How much does Aisitec HR cost?
- The subscription is monthly, and the price depends on company size and the chosen modules. Detailed packages are available at aisitec.com/pricing.
