1. Time tracking calendar and contract conditions
An employee’s contract terms define their work schedule, and the schedule determines how they can exercise the rights granted by internal policies and labor legislation.
In the Aisitec HR system, the time-tracking calendar is generated automatically based on contract parameters such as daily working hours, total weekly hours, designated work and rest days, and the rules for calculating overtime.
As long as an employee follows the established rules and schedule, the calendar requires no manual adjustments—though changes can be made either by the employee or an authorized manager when needed.
Within the time-tracking calendar, both the employee and the authorized manager can update:

Work location

Working hours
-
Convert a working day into a rest day

Mark whether the employee worked remotely or on-site, or whether they had an excused/unexcused absence
The time-tracking calendar automatically reflects:

Approved vacations, sick leaves, excused/unexcused absences, and business trips

Overtime hours calculated according to contract rules

Night and rest-day hours, which may be compensated at different rates

Legally required reports, generated without manual input
At the end of each month, managers confirm the calendar through an approval workflow, and it is stored in a structured format.
2. Time tracking management
The time-tracking management panel is primarily designed for companies where employee working hours are determined and supervised by a dedicated service or department.
For example, a department may have a technical team whose working hours are monitored by their manager, who adjusts the data throughout the month.
If the company uses an entry/exit (access control) system, Aisitec HR automatically compares the contractually defined working hours with the employee’s actual presence in the office and applies the necessary adjustments accordingly.
3. Automatic 24-hour shift generation & planning
In companies, 24-hour shifts—just like the time-tracking calendar—are generated based on the rules and conditions defined in the employee’s contract.
Shifts include:

Defining working and rest days for the month

Setting start/end times and break periods

Supporting multiple shifts within the same day
This ensures precise, rule-based scheduling without manual effort.
4. Shift management panel
Just like the time-tracking management panel, there is also a dedicated shift-planning panel where you can manage all generated shifts. Within this panel, you can:

Adjust existing shifts

Delete specific shifts or clear the entire month

Add multiple shifts within a single day

Record hours worked on a non-working day

Mark unexcused absences

Define individual rest days

Swap shifts between employees

Select and copy shifts to another employee’s schedule
Most importantly, while filling or planning shifts, you always see the monthly total of nominal working days and hours, which serves as the basis for accurate workload calculation.
5. Access control systems and time tracking
In Aisitec HR, access control systems can be integrated based on the company’s needs.
These systems may include any type of setup — for example: fingerprint scanners, video-based entry logs, badge cards, button-based check-ins, and more.
All data received from the access system — employee entry and exit times — is stored and processed in real time. This information is compared against the contractually defined working days and hours, and any discrepancies are automatically reported.
Even with an access control integration, authorized personnel can still adjust recorded working hours, which must then be approved by the manager.
